Faculty Recruitment

The Renaissance School of Medicine uses an online applicant tracking and recruitment system called Interfolio to conduct faculty searches.  

This system will be used to:

  • Create and submit job postings for approval 
  • Review and evaluate applicants who applied to the job posting
  • Interview and rate qualified applicants
  • Request approval to hire applicants

Overview of Faculty Search (Administrators)

Users with Administrator access have the ability to create postings, perform the tasks of a committee manager, and submit a candidate for selection approval. 

Once your department has received budget approval for a new/replacement position, a posting will need to be created.  When creating a posting, you will first need to use Manual #1 to sign in to Interfolio and Manual #2 to add search committee members to Interfolio (please create all users using their “stonybrook.edu” email address, NOT “stonybrookmedicine.edu”).

Manual #3 will walk you thru the steps of creating a posting.  Please use the “Position Types” tab to determine which type to select (if you select the incorrect type, you will need to delete the posting and start over).  You will use Manual #4 to copy and paste the wording into the “Application Instructions” section of the posting.

After the posting is submitted for approval, the Department Chair/Administrator will be notified via email to approve the posting as the Department Approver.  Please use Manual #5 to walk you through the steps of approving the posting.

Whoever creates the posting will automatically be assigned as the Committee Manager of the posting.  An additional Committee Manager can also be assigned to the posting if needed.  The committee manager will use Manual #6 once the posting is posted and applicants apply.  

Note:  For all Tenure Track postings, a Mid-Search Review will need to be completed before any applicants can be interviewed. Please use Manual #7 to walk you thru the steps of a Mid-Search Review.

The search committee members who are assigned to the posting will use Manual #8.  Each committee member will need to evaluate the applicants that were interviewed in Interfolio (minimum of 3 faculty members).  To ensure each interviewed applicant has been rated by a minimum of 3 faculty members, you will need to create a report in Interfolio using Manual #9.

Manual #10 will be used after you have chosen an applicant.  Before submitting an applicant for approval, please ensure all tasks in the Selection Approval Process Checklist have been completed.  Once submitted, the Department Chair/Administrator will be notified via email to approve the chosen applicant.  Please use Manual #5 to walk you through the steps of approving the chosen applicant. 

Note:  The Offer Letter process and the Waiver process is still a manual process outside of the Interfolio system.
